Glow Line for spray tan studios
A spray tan is fifteen minutes in a booth with an airbrush in your hand, back to back on a busy afternoon. The phone rings for a formal group of five, a bride six weeks out, or how many days before an event to come in. Glow Line answers from your tan menu and prep notes, takes the request and texts it to you once the booth is clear.
Incoming call, Thursday 5:20 pm
- My daughter and four friends need tans for their formal on Saturday night. What do you charge?
- Thanks for calling Sunfleck Tan Studio. A tan for under 18s is $35 each and takes 15 minutes. One to two days before the event is best.
- Friday after school would work for all five of them.
- I will request five tans for Friday after school. Can I take your name and mobile? The team will text you the times to confirm.
Group booking request Sent to the studio with her name, mobile, five tans and Friday after school.
What gets in the way for spray tan studios
Airbrush in hand, client in the booth
Gloves on, mist in the air, a client standing in position. Nobody stops a tan halfway to pick up a phone, so on a full afternoon every call goes unanswered until the last client has gone.
The event date decides the booking
Callers ring about a formal, a wedding or a holiday, and the right day to tan depends on when the event is. Write your timing rule in notes, such as one to two days before, and the assistant gives it before taking the request.
Prep questions on repeat
Exfoliate the day before, no moisturiser or deodorant on the day, wear loose dark clothes, rinse after so many hours. You answer these twenty times a week. Written once in notes, the assistant gives them to every caller who asks.
Groups arrive as one phone call
A parent rings for a daughter and four friends before a formal, or a bride for her whole party. The assistant takes one request with the group detail, and you work out the timetable and text back.
A worked example
Spray tan studio work, with Glow Line
Sunfleck Tan Studio is one booth and one owner in a beachside shopping strip, open Tuesday to Saturday, with Thursday and Friday running to 8 pm through formal season. The menu on Glow Line has six services: classic spray tan at $45 for 15 minutes, express tan (rinse after two hours) at $50 for 15 minutes, a bridal trial tan at $35 for 15 minutes, a bridal tan in the week of the wedding at $55 for 20 minutes, a body exfoliation add-on at $20 for 10 minutes and a tan for under 18s at $35 for 15 minutes. Notes carry the prep rules, a line that a tan is best one to two days before an event, the rinse times for each tan, and that groups of four or more should request a block of time.
On the Thursday before the biggest formal weekend she tans eighteen clients, one every fifteen minutes from 3:30 pm to 8 pm. At 5:20 pm a mother rings about her daughter and four friends for a formal on Saturday night. The call diverts. The assistant gives the under-18 price of $35 each, says one to two days before is best, reads the prep rules when asked, and takes the mother's name, mobile and a preference for Friday after school. The owner reads the text at 8:05 pm, after the last client. She blocks 3:45 pm to 5 pm on Friday, five tans at $35, $175 in all, and texts the mother the times with the prep rules pasted underneath.
That month the line answered 52 calls, so 12 went past Line's 40 and each one was marked, all well inside the ceiling of 80. For a single busy month a year she stays on Line and accepts the notes. If every month ran past 40, Salon at $84 with 200 calls would be the plan.
Questions from spray tan studios
Can it tell clients how to prepare for a tan?
Yes, if your prep rules are in notes: exfoliating the day before, what to wear, when to rinse. It reads your words and adds nothing of its own, so write them the way you would say them at the booth.
Can it take a group booking for a formal or a bridal party?
It takes one request with the service and the detail the caller gives, such as five people on Friday afternoon. It never promises a block of time. You work out the order and confirm each time by text.
What if a caller asks about tanning with a skin condition or during pregnancy?
The assistant says it is not sure and that the team will confirm. Questions about skin, allergies or pregnancy belong to you or to the client's own doctor, never to a phone line, and they arrive in your text so you can call back.
Formal season doubles my calls. Which plan?
Line includes 40 answered calls a month, and calls past that are still answered up to 80, each one marked. If one busy month passes 80, or most months pass 40, Salon includes 200 answered calls for $84 a month.
