For wellness centres
Glow Line for wellness centres
A wellness centre runs on several practitioners keeping different days: massage early in the week, reflexology on Thursdays, a sauna open all week, yoga on Saturday morning. Callers want to know who is in and when, and everyone who could tell them is in a treatment room. Glow Line answers from your list and notes, takes the request and texts it to you.
Incoming call, Wednesday 11:05 am
- Is your reflexologist in this week? And could I add a sauna straight after?
- Thanks for calling Quiet Lantern Wellness. Reflexology is on Thursdays, $80 for 45 minutes. An infrared sauna session is $35 for 40 minutes.
- Thursday afternoon then, both please.
- I will request reflexology then the sauna for Thursday afternoon. Can I take your name and mobile? The team will confirm by text.
Booking request Sent to the centre with her name, mobile, both services and Thursday afternoon.
What gets in the way for wellness centres
Who is in on which day
Callers often want one practitioner, not the centre. Hours are set for the centre as a whole, so write each practitioner's days in notes. The assistant reads them out when asked and takes the request for that person's day.
A shared desk with nobody at it
Many centres share one reception between practitioners who are all booked at once. The phone rings in an empty front room, and a caller who reaches voicemail tends to try the next centre on the list.
Questions that belong to a practitioner
Callers ask whether reflexology will help their migraines, or whether the sauna is safe with their blood pressure. Those answers belong to a qualified person. The assistant gives prices, lengths and your written policies, and passes anything about health to the team.
Packs, classes and sessions on one list
A five-session sauna pack, a drop-in yoga class and a 60-minute massage all need a price and a length. Each is a service on your list, so the assistant quotes them the same way, and the pack rules sit in notes.
A worked example
Wellness centre work, with Glow Line
Quiet Lantern Wellness runs out of a converted house with three treatment rooms, an infrared sauna and a yoga room. Five practitioners work there across the week and nobody staffs the front desk. The list on Glow Line has eleven services, including remedial massage at $110 for 60 minutes, relaxation massage at $100 for 60 minutes, reflexology at $80 for 45 minutes, an infrared sauna session at $35 for 40 minutes, a five-session sauna pack at $150 and a restorative yoga class at $25 for 75 minutes. Notes give each practitioner's days (massage Monday to Wednesday and Friday, reflexology Thursday only, yoga Wednesday at 6 pm and Saturday at 8 am), parking out the back, and one line the owner wrote herself: questions about a health condition are answered by the practitioner, who will call back.
On a Wednesday morning a caller asks whether the reflexologist is in this week and whether she can add a sauna afterwards. The assistant reads the Thursday note, gives both prices and lengths, and takes her name, mobile and a preference for Thursday afternoon. She then asks whether reflexology helps migraines. The assistant says it is not sure and that the team will confirm, and that question goes into the text with her request. The reflexologist rings her at lunch on Thursday, answers the question herself and offers 2:30 pm with the sauna at 3:20 pm, a $115 visit.
Over its first month the line answered 31 calls for the centre: 18 booking requests, 9 questions about prices, hours or parking, and 4 messages for a named practitioner. That sits inside Line's 40 answered calls at $29 a month. The owner reads each text and forwards the request to whichever practitioner it is for.

Questions from wellness centres
Can it tell callers which practitioner is in today?
Only from your notes. Hours are set for the centre as a whole, so write each practitioner's days in notes, for example "reflexology Thursdays only". The assistant reads that out. It cannot see who is actually free in the diary, so the time is confirmed by you.
Can the text after a call go to each practitioner?
Texts go to the one mobile on the account. That person can pass each request on, or practitioners can check the Bookings page between sessions. One account holds one list and one line.
Will it answer questions about whether a treatment suits a health condition?
No. It gives the prices, lengths and policies you saved. Whether a treatment suits someone's health is a question for a practitioner, so the assistant says the team will confirm and the question reaches you in the text.
Do yoga classes and sauna sessions work as services?
Yes. Each class, session or pack is a service with a price and a length. Put class times in notes, since hours cover the centre as a whole. A caller requests a class like any other service, and you confirm the spot by text.
